This position will be responsible for providing administrative and clerical support. The successful candidate will have excellent client service, organizational and time management skills.
Responsibilities include:
- Managing and purchasing office supplies throughout the firm and ensuring all supply rooms are stocked and organized
- Managing and purchasing kitchen and coffee supplies and ensuring the Bistro area is cleaned, organized and stocked
- Clearing out and setting up new lawyer offices and staff desks
- Outgoing mail and conducting post office runs as required
- Assisting legal assistants and paralegals with photocopying, scanning, printing and binding projects
- General office tidying, cleaning, sanitizing and plant maintenance
- Participating and assisting in annual fire evacuation procedures
- Setting up audio visual equipment and refreshments in meeting rooms, as required
- Assisting with processing invoices and submitting cheque requisitions for payment
- Assisting with additional support during team absences
Qualifications include:
- A proven team player with an upbeat, positive attitude
- Proficient computer skills in Microsoft Office Suites (Word, Excel, Outlook)
- Ability to stand for extended periods of time with frequent movement throughout the office
- Proactive self-starter, critical thinker, and resourceful
- Excellent organizational and time management skills, and ability to prioritize work in order to effectively multi-task
- Excellent customer services, oral communication and interpersonal skills required
- High level of attention to detail
- The ability to effectively prioritize and juggle multiple demands
- Heaving Lifting up to 25kg is required
- Flexible schedule and some overtime required
- Previous law firm experience is an asset
- High School Diploma
- Working in an office environment would be an asset
- Customer service experience, including retail and hospitality, would be an asset
