MLT Aikins is in search of an IP billing coordinator to support our intellectual property (IP) practice group. As we have a multi-office team, we are open to candidates who may work in our Regina or Calgary office. Prior experience in a professional or legal environment is considered an asset.
Responsibilities include:
- Preparing client billings, responding to billing inquiries and coordinating with clients regarding billing preferences
- Processing and sending monthly account reminder statements to clients
- Processing payment of associate invoices and insertion of corresponding tariff time code entry as required
- Liaising with the accounts receivable clerk as required to process payments
- Responding to general inquiries from callers and visiting clients, redirecting calls or providing routine information
- Paying fees with the Canadian Intellectual Property Office (CIPO)
- Performing conflict checks, confirming client identification, opening and closing client matters
- Processing cash receipts, expenses and CIPO disbursements
- Assisting with reconciliation of the firm’s CIPO IP deposit account, providing back up material and resolving any refund or debit issues with CIPO
- Maintaining electronic files
- General administration support for the IP group
Qualifications include:
- Graduate of a recognized administrative assistant program (equivalencies will be considered)
- Minimum three years of experience as an administrative assistant
- Strong computer skills
- Excellent interpersonal and communication skills
- Highly organized with superior time management and proofreading skills
- Self-motivated with the ability to work independently, follow instructions with minimal supervision and thrive in a fast-paced, professional team environment
- A client focused approach and commitment to providing exceptional service to internal and external clients
- Physical mobility for requirements of mail and document production and the ability to lift up to a 20-pound file box
